Information we collect
When you request an estimate through our website form, we collect: your name, phone number, and email address, and your preferred contact method (call or text); the property address; property details, including property type, approximate square footage, and condition; access information (such as gate codes, lockbox details, or entry instructions you choose to provide); the services you are requesting and your desired date and urgency; and private photos and videos you choose to upload showing the property's condition. When you contact us by phone, email, or social media, we receive whatever information you choose to share. Our website may collect basic technical information such as device type, browser type, and pages visited, used to keep the site working and improve it.
How we use your information — including AI-assisted processing
We use your information to prepare and communicate estimates; to schedule, perform, and follow up on services; to send transactional emails related to your request (such as estimate confirmations); and to operate and improve our website and business. We use AI-assisted tools to help process estimate requests — for example, extracting key details (services requested, property information) from your submission so our team can prepare your estimate efficiently. AI outputs are reviewed by our team; all estimates, scope decisions, and customer communications are made or approved by DwellSet staff.
Service providers
We use the following providers to operate our business: Lovable Cloud — website hosting and database storage for form submissions; Jobber — estimates, scheduling, invoicing, and payments; n8n — workflow automation for lead processing; Twilio — SMS delivery for internal staff operational alerts (program being set up; not yet sending messages); and our email provider — delivery of transactional emails. These providers may only use your information to perform services for us.
Mobile information and SMS consent
Your mobile phone number, SMS opt-in status, and SMS consent records are not shared with third parties or affiliates for marketing or promotional purposes. Mobile information is used only to deliver the messages you consented to receive, as described below.
SMS communications — planned program, not yet active
Status: our SMS program is currently being set up and is not sending any messages. The following describes how it will operate once active. We will update this policy if the program changes. DwellSet's SMS program is for internal operational alerts to DwellSet staff only: transactional SMS messages are sent from (832) 979-3968 to DwellSet staff members who have provided verbal consent. This number is used only for the staff alert program. It is not used for customer calls and we do not send text messages to customers from this number. Messages concern business operations (for example, system alerts about lead processing). They are not marketing messages. Message frequency varies based on operational events — most weeks, few or no messages are expected. Message and data rates may apply depending on the recipient's mobile plan. Recipients may opt out at any time by replying STOP, and may reply HELP for assistance. We do not send marketing text messages. We do not currently send SMS messages to customers.
Uploaded photos and videos
Photos and videos you upload are used to review your property and prepare your estimate. They are stored securely and are not published or shared publicly. Project photos are only published in our portfolio with permission, and never with personal details or exact addresses.
Data retention
We keep your information for as long as necessary to provide services, maintain business and tax records, and meet our legal obligations. We have not established a fixed deletion schedule. You may request deletion of your personal information at any time by contacting us at the email above; we will honor such requests except where we are legally required to retain records.
Data storage and security
Form submissions and uploads are stored in secured systems with access limited to the business owner and authorized personnel. We take reasonable measures to protect your information, including limiting access to authorized personnel and using reputable service providers. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
Your choices
Contact us at the email above to request access to, correction of, or deletion of your personal information. Staff SMS recipients may opt out at any time by replying STOP.
Changes to this policy
If we change this policy, we will post the updated version at www.dwellsetprep.com/privacy with a new effective date.
